2. INFORMATION WE COLLECT
Depending on how you contact us or use our services, we may collect:
• your name;
• billing, collection and delivery addresses;
• email address and telephone number;
• order, invoice, payment-status and transaction information;
• delivery instructions, access details and appointment information;
• the content of enquiries and communications by website form, email, telephone, WhatsApp, SMS or social media;
• photographs you send when asking about furniture, access, condition, damage or a delivery quotation;
• photographs we reasonably take at collection or delivery to record condition;
• mailing-list preferences and consent records; and
• technical information such as IP address, device and browser type, cookie identifiers, referring page, pages viewed and interaction with the website.
Card and some online-payment details are processed by Wix, PayPal or the relevant payment provider. We do not normally receive or store a customer’s complete card number.
We may also receive information from a marketplace through which you contact us or place an order, or from a person arranging delivery on your behalf.
3. HOW AND WHY WE USE INFORMATION
We use personal information to:
• answer enquiries and provide quotations;
• take steps requested before entering a contract;
• process and fulfil orders;
• take payment and provide invoices or order confirmations;
• plan collections, deliveries, access and appointments;
• provide after-sales service and handle returns, complaints, damage or disputes;
• keep accounting, tax and business records;
• prevent fraud, misuse and security incidents;
• operate, protect and improve our website and services;
• establish, exercise or defend legal claims; and
• send mailing-list updates where the person has chosen to subscribe.
Our lawful bases under UK data-protection law are:
• contract—where processing is needed to take requested pre-contract steps or perform a contract;
• legal obligation—where records or disclosures are required by law, including tax and accounting duties;
• legitimate interests—for ordinary business administration, responding to enquiries, protecting the business, preventing fraud, improving services and handling legal claims, where those interests are not overridden by the individual’s rights; and
• consent—for optional email marketing and non-essential cookies or similar technologies where consent is required.
Where we rely on consent, it can be withdrawn at any time. Withdrawal does not affect processing already carried out lawfully.
4. WHO WE SHARE INFORMATION WITH
We share personal information only where reasonably necessary. Recipients may include:
• Wix, which hosts our website, online store, forms and related business systems;
• banks, card processors and payment providers such as PayPal;
• FreeAgent and other accounting or bookkeeping providers;
• Google services used for business email and administration;
• delivery companies, couriers, ferry operators or other transport providers where needed to complete a job;
• third-party marketplaces through which a sale or enquiry is made;
• OpenAI (ChatGPT) or another AI-assisted business tool where used to help draft an invoice, business document or customer communication;
• insurers, accountants, legal advisers and other professional advisers;
• law-enforcement bodies, courts, regulators, HM Revenue & Customs or other authorities where disclosure is legally required or reasonably necessary; and
• a purchaser or adviser involved in a genuine sale or restructuring of the business, subject to appropriate confidentiality.
When using an AI-assisted tool, we aim to limit the personal information supplied to what is reasonably necessary. We do not use AI tools to make solely automated decisions that have legal or similarly significant effects on customers.
We do not sell personal information.
5. INTERNATIONAL PROCESSING
Some service providers may process information outside the United Kingdom. Where UK data-protection law requires it, we rely on an adequacy decision, approved contractual safeguards or another lawful transfer mechanism.
6. HOW LONG WE KEEP INFORMATION
We keep personal information only for as long as reasonably needed for the purpose for which it was collected, including:
• general enquiries and related photographs: normally up to 12 months after the enquiry is closed;
• order, invoice, payment and delivery records: normally up to six years after the end of the relevant financial year or transaction, where needed for tax, accounting or legal purposes;
• information connected with a complaint, insurance claim or legal dispute: for as long as reasonably required to resolve and protect against the claim;
• mailing-list information: until the person unsubscribes or we stop using the list, with a minimal suppression record retained where necessary to respect the opt-out; and
• website analytics and cookie data: according to the settings and retention periods of the relevant service and the choices made through our cookie controls.
We may delete or anonymise information earlier where it is no longer required.
7. MARKETING
We do not automatically add customers or enquirers to our mailing list. A person receives mailing-list emails only after choosing to subscribe.
You can unsubscribe using the link in an email or by contacting retrocactusfurniture@gmail.com. Service messages about an existing enquiry, order, collection or delivery are not marketing and may still be sent where necessary.
8. COOKIES AND WEBSITE ANALYTICS
Our Wix website uses cookies and similar technologies.
Essential cookies support functions such as security, fraud prevention, network management, shopping-basket and checkout operation. They may be used without consent where they are strictly necessary.
Analytics cookies help us understand website visits and performance. We use Wix Analytics. Where consent is legally required, analytics cookies should not be activated until the visitor accepts them through the cookie banner.
We also use Google Search Console to understand how the website appears in Google search results. Search Console provides website search-performance information and does not by itself require us to add a Google Analytics tracking cookie to the site.
Embedded content, social-media links or third-party applications may use their own cookies or technologies. Their use is governed by the relevant provider’s privacy information and, where applicable, the visitor’s cookie choice.
